Taking Care of Your QuickBooks Data File

    If your data file is more than 250,000K, you may want to consider starting a new data file or �Clean Up� your data.  You can check the size of your file by choosing the F2 key while in your data file.

Verify Data

During data backup, QuickBooks will allow you to verify your data.  You will want to allow QuickBooks to automatically verify your data during backup.  If you are working off a server that regularly backups up your entire system and not necessarily your data file, you may want to manually verify your data.  In order to do so, follow these steps:

1.      Go to �File� on the top menu bar.

2.      Scroll down to �Utilities�, then over and down to �Verify Data�.

3.      Follow the simple steps to verify your data. 

If your data does not come back with an error, your data has integrity and should be free from damage.  If your data comes back with an error, it will suggest you Rebuild your data.  See below for instructions on how to rebuild your data.

Whether you have been working in QuickBooks� for years or are just getting started, we have some tips for you to keep your data free from damage, allowing you to work without interruption.  We also suggest you backup your data on a regular basis.  See our simple steps to help you keep �damage free� file.

Rebuilding Your Data

1.      Go to �File� on the top menu bar.

2.      Scroll down to �Utilities�, then over and down to �Rebuild Data�.

3.      Follow the simple steps to verify your data. 

During your data rebuild, QuickBooks will create a log that will identify errors in your system.  Once you rebuild your file, be sure to verify the data again to be sure there aren�t any errors detected in your data.

Backup your QuickBooks� Data File

Backing up your data file is extremely important.  Whether you back up to a flash drive, CD, portable hard drive, server, or any other form of media, you should always keep one backup offsite in a safe place such as a safe deposit box, fireproof safe, or with an online backup service.  This will ensure that if something �out of the ordinary� should occur such as a computer crash, lightening strike, or some other unforeseen occurrence; you always have a very current data file backup. 

Follow these simple steps to backup your file:

1.        Go to �File� on the top menu bar.

2.        Scroll down to �Save Copy or Backup�.

3.        Next, it will ask you what type of file you want to save.  Choose �Backup Copy�.  Then hit �Next�.

4.        Choose �Local Backup� and then select �Options�.

5.        Now you will �Browse� to save your data file in the appropriate drive (this will depend on what type of media you are saving the backup to).

6.        On the options page, you can limit the number of backups that are saved on your chosen media.  The typical and default is �3�.  You can choose not to limit the number of backups on one flash drive, server, etc.

7.      On the options page, you can also do a �Complete Verification�.  This is highly recommended.  This will ensure that your data is being verified during the backup process. 

8.     Once you have all your selections complete, choose the �OK� button.  This will bring you back to the backup screen.  Once you return to the backup page, select next and the verification process will begin.  If your data is not completely verified, you will want to follow the rebuild directions on the front of this flyer.

Restore your QuickBooks� Data File

1.        From the �No Company Open� screen, choose �Open or restore an existing company�.

2.        Choose �Restore a backup copy�.

3.        Next, choose �Local Backup�.

4.        Once you choose �Next�, it will bring you to the ability to �Browse� in order to locate where your file is.

5.        Double click on the QuickBooks backup file.

6.        Next, you will be asked where you want to restore the file to.  Browse and select the location for the restored file.

7.        Allow QuickBooks to restore the data.
